Project status lives in four places simultaneously
CRM, spreadsheet, project management platform, and email threads each hold a different version of project status. Team members check whichever source they prefer — and get different answers. Reconciliation becomes a standing agenda item at every team meeting. Five of six respondents identified a version of this problem independently.
Designate one system as the authoritative project record. Configure the others to feed into it rather than maintain parallel data. Enforce a single update point at each handoff.
Work transitions between roles have no enforced checkpoint
The handoff between the team member completing a task and the next person who needs to act on it happens via text message, verbal communication, or is skipped entirely. There is no system-enforced gate. When the responsible person is out, work simply stops. Two respondents described discovering work that had been sitting unactioned for days with no visibility.
Implement a structured handoff trigger — a status update, a notification, or a task assignment — that creates a visible, logged record of the transition. The next step should be pulled, not pushed.
Invoice preparation requires manual data reconstruction every time
Finance must independently gather data from the project management tool, email threads, and any supporting documents before preparing each invoice. There is no automated connection between project milestone completion and invoice generation. On complex projects, this investigation takes 1–3 hours and still results in corrections on roughly a third of invoices.
Link milestone completion to billing triggers. When a defined project gate is met, a billing-ready record should be generated automatically — finance confirms and sends, rather than reconstructing from scratch.
